This Privacy Policy is prepared in accordance with Meta/WhatsApp Business API requirements and Turkish GDPR (KVKK Law No. 6698).

1. Data Collection Purpose

Your personal data is collected only and exclusively to provide Hotel AI services:

  • Hotel-Guest Communication: Automated messaging via WhatsApp
  • Automation: Welcome, farewell, birthday messages
  • Task Assignment: Emergency notifications to departments

2. Collected Data

  • Guest Name: From check-in form or WhatsApp profile
  • Phone Number: For WhatsApp communication
  • Message Content: All messages sent/received via WhatsApp
  • Check-in/Check-out Dates: Stay duration information
  • IP Address: Security and fraud prevention

3. Third-Party Sharing

Meta/WhatsApp

Purpose: Messaging infrastructure

Shared Data: Phone numbers, message contents

TourComp

Purpose: Commission-based sales referrals

Shared Data: ONLY anonymized traffic or explicit consent referrals

Personal information (name, phone) is NOT shared

4. Data Retention

Messages & Guest Data: Stored during hotel membership

After Cancellation: Kept in backups for 30 days, then permanently deleted

5. Your Rights (GDPR/KVKK)

Under KVKK Law No. 6698, you have the right to:

  • Learn whether your personal data is processed
  • Request correction of personal data
  • Request deletion of personal data

6. Chrome Extension

HotelAI PMS Connect extension only runs in the hotel management system (PMS) tabs that the user (hotel manager) has explicitly authorized and kept open. The extension reads the following data from the PMS interface for the HotelAI Assistant system to function correctly:

  • Guest Name and Surname
  • Guest Contact Information (Phone Number etc.)
  • Guest Accommodation Information (Check-in/Check-out Dates etc.)
  • Room Number
