1. Data Collection Purpose

Your personal data is collected exclusively to provide HotelAI services, digitize hotel operations, and manage guest communication:

  • Hotel-Guest Communication: Communication via WhatsApp, Telegram, and Web Chat.
  • Automation: Welcome, survey, and informational messages.
  • Task Assignment: Delivering work orders to relevant departments.

2. Collected Data

  • User Data: Emails used for login, hotel staff information.
  • Guest Data: Name-surname, phone number, room number, and stay dates.
  • Message Content: Messages sent/received through the system.
  • Device Information: FCM tokens and device IDs used for push notifications.

3. Third-Party Sharing

Your data is not shared for advertising purposes. It is processed only with service providers:

Meta/WhatsApp

Messaging infrastructure and API usage.

Firebase/Google

Push notifications and data storage.

4. Data Retention and Deletion

Your data is stored for the duration of the hotel membership. Upon cancellation, it is permanently deleted from backups within 30 days. Users can request account deletion via support@hotelai.io.

5. User Rights

You have the right to:

  • Learn whether your personal data is being processed,
  • Request correction if data is incomplete or inaccurate,
  • Request the deletion or destruction of your data.

6. Chrome Extension

The HotelAI PMS Connect extension only reads data from PMS tabs authorized by the hotel manager: Guest name, phone number, room number, and stay dates.
